Doing our Part to Deliver You a Healthy and Safe Workplace

Safely Navigating COVID-19

At Colony Workplaces, we understand that , because of COVID-19, distancing is part of our new norm.  However, collaboration and

Heart in Hands

networking are still integral parts of your success.  We want to give our members and the Huntington community the assurance that we can still be a part of their work life and stay safe.  But if we are going to

succeed, we have to do it together.  We are committed to doing our part, but you must join in our endeavor to

keep our workspace safe and clean.

This document outlines a plan that shows how we can come together to create an amazing community for everyone to thrive in.  In addition to our plan, we encourage our members to implement their own health and safety protocols for themselves, their employees and their visitors.  Here is a summary of our robust client policy, please feel free to add to this, depending on your individual business model and needs as an organization.  If you have any suggestions on how we can make Colony a safer work environment, we are happy to listen to any suggestions.

Our Commitment to You - Prioritizing Personal Space

Colony Workplaces is unique in that it offers 4 entry points to the building.  To decrease congestion in the main lobby, we are utilizing all 4 entry points, which will help spread out the flow of traffic through our main entry and lobby.  This will ensure  minimal personal interaction as well as less contact with door knobs and handles.

We installed motion sensors on the light switches in the public areas, decreasing the number of touch points.

We have spread out our desks in the community space, giving six feet of workspace to each community member. Our coworking space now includes three phone booths, two lounges, a conference room, our main room, a semi private room and a private desk space.  Based on our current member level and the amount of available space, you can feel comfortable while working with a level of social distancing that meets all guidelines.

To increase the amount of accessible private space to our coworking members, we have made the conference room available to all at no additional cost.

We have altered the scope of our cleaning to include increased surface and touch point cleaning.  We are also providing cleaners in our break areas for the use of our community members to use as they see fit.

What We Ask of Our Members - Prioritizing Personal Space - COVID 19

Please be considerate of others and wear a mask when in the community spaces.

Please use the cleaners that we are providing.  Suggestions on areas to use the cleaners include, but are not limited to: the coffee makers, refrigerators, the doorknobs and anything you touch.  How you use the cleaner is important.  Take a paper towel and the provided cleaner, spray into the paper towel, and then wipe the surface.  Please do not spray directly onto the coffee maker or into the refrigerator.  Spraying directly onto a countertop is acceptable.  In your private office space, you are welcome to use your own cleaner.  However, in the common areas, please use the products that we have provided.  Please understand that mixing cleaners and chemicals can have an adverse affect and a risk to your health.  If you would like to introduce a cleaner into the common area, please consult with us first.

Prioritizing Personal Space - Please Adhere to These Guidelines for COVID-19

If you are feeling ill, please stay home and avoid returning until your symptoms are gone. We require any client that tests positive for COVID-19 or becomes aware of an employee or guest that has visited the center who has tested positive for COVID-19 to notify the center in writing, detailing the time(s) the individual visited the center and what areas he or she accessed.  Those testing positive can return to the Centers once they can provide documentation from a doctor clearing them.

Practice good hygiene such as: washing your hands regularly, avoiding touching your eyes, nose, and mouth, and covering your cough or sneeze with a tissue.

Properly dispose of personal protective equipment and any other cleaning supplies you have used.

Practice social distancing in our common areas and be mindful when you have guests.

Please consider asking your employees and guests to take their own temperature before each visit to the center and to not visit if they register a fever of 100 degrees or higher regardless of being tested for COVID-19.  We also recommend utilizing the following screening questions for employees and guests entering the space:

Since your last day of work, or since your last visit to this facility, have you had any of the following:

- A new fever (100.4°F or higher) or a sense of having a fever?

- A new cough that you cannot attribute to another health condition?

- New shortness of breath that you cannot attribute to another health condition?

- New chills that you cannot attribute to another health condition?

- A new sore throat that you cannot attribute to another health condition?

- New muscle aches (myalgia) that you cannot attribute to another health condition?

Thank You for Helping Prioritize Personal Space During The COVID-19 Pandemic

We appreciate you putting the health and safety of our members, guests, and community first. We are closely following the recommendations by public health organizations and are committed to taking additional measures as requirements change.

In the meantime, do not hesitate to communicate any other concerns you may have by reaching out directly to either Dave or Bill with any suggestions or concerns you may have.  Additionally we have provided a link to the CDC website on Colony’s webpage, colonyworkplaces.com for your convenience so that you can reference any changes to the CDC’s recommendations going forward. Welcome back to thriving in the hive, stay safe, and we look forward to working together so that we all can create a healthy and prosperous 2020 going forward.

Stay Safe!!

Sincerely, David and Bill
